Job Summary

The Student Housing Ambassador (HA) position is an integral member of the Housing team, serving as first point of contact and representative of the Housing Office and Florida International University. The Housing Ambassador serves as a service provider and resource for current residential students, families, visitors and persons outside of the University community. As members of the Housing Office staff, the HAs work collaboratively with other staff members to ensure effective and efficient delivery of services and information. Together, the HAs and other housing staff provide services that support the mission, vision and values of the Housing Office. With the goal of providing excellent services to students in the residence halls, Housing Ambassadors are responsible for assisting with day-to-day administrative and customer service responsibilities. The HA is a paraprofessional staff member of the Housing Office and reports directly to a professional staff member.

General Expectations:

  • The HA serves as a resource for residents, families and other campus community members and should be familiar with the services and opportunities provided by Housing and Residential Experience, the Division of Student Affairs, and other university departments and offices
  • The HA will be knowledgeable of and able to communicate Housing and Residential Experience procedures and policies to residents
  • As employees of the Housing Office, HAs are expected to support the vision, mission, values, philosophies, and goals of Housing and Residential Experience
  • The HA will help to create and maintain a friendly, respectful, and accepting atmosphere in the departmental office
  • The HA will be expected to arrive on time for all scheduled shifts and communicate any necessary absences in a timely manner

Role Modeling and Leadership Expectations:

  • The HA is responsible for abiding by and upholding all residence hall and university policies
  • HAs are expected to serve as positive role models for all students. This includes but is not limited to modeling appropriate and mature behavior on and off campus as well as via digital and social media
  • The HA is expected to fulfill all expectations as described and provided in training sessions and through direct supervision

Administrative Responsibilities:

  • HAs are responsible for answering the departmental phone line, receiving and disseminating fliers and other information, and assisting with general office tasks
  • The HA will serve as first-line of communication with residents, families, and visitors, in person, via phone, and through email communication
  • HAs will provide clerical support for office staff by maintaining files, creating documents, assisting with data entry, making phone calls, etc.
  • HAs are expected to be familiar with and utilize departmental databases/systems to answer questions and assist residents
  • HAs will perform clerical tasks such as filing, copying, and faxing documents
  • HAs will complete special projects as assigned by Housing staff

Customer Service Responsibilities:

  • HAs are expected to maintain a positive attitude that is welcoming to residents/guests and supportive of the University and the department
  • HAs are expected to provide excellent customer service to students and parents by phone, email and in-person regarding any Housing and Residential Experience questions, concerns, and requests
  • HAs will uphold and maintain confidentiality with sensitive student information
  • HAs will be expected to maintain a high level of professionalism in communication with residents, staff and guests
  • HAs will become familiar with the different offices and services available to students at the University in order to make appropriate referrals to residents and visitors
  • Lead tours for prospective students and families during regularly scheduled tour times (M-F 12pm and 4pm)
  • Assist with Open House days (Saturdays) for prospective students

Desired Qualifications

Minimum Qualifications:

  • HAs must have a 2.5 cumulative GPA at the time of application and maintain a 2.5 cumulative and semester GPA for the duration of their employment
  • HAs will have grade checks completed at the end of every semester
  • HAs must be full-time registered students (undergraduates must enroll in no more than 21 and no less than 12 credit hours per semester; graduates must enroll in 9 credit hours per semester)
  • HAs must be and remain in good standing with the Department and University, including no significant or recent student conduct history
  • All HAs will consent to conduct checks prior to hiring and at the end of every semester
  • Prior to employment, HAs must successfully pass a criminal background check conducted in conjunction with the Human Resources office
  • HAs must currently live on campus or have lived on campus previously at FIU

Who May Apply
  • Students enrolled at FIU, who have been awarded Federal Work Study (FWS) as part of their Financial Aid Award package.
  • Student must be enrolled with a minimum of six (6) credit hours in a course of study leading to a degree or a Financial Aid eligible certificate, during Fall, Spring, and Summer semesters.
  • Upon credits decreasing, award being canceled, or graduating, FWS employment must end.
Work Schedule
  • The HA will be scheduled for no less than 10 and no more than 20 hours per week during the academic year. These hours will be scheduled between 8:00 am and 5:00 pm when the Housing Office is open for business
  • HAs will attend and actively participate in any mandatory staff meetings and training sessions as scheduled
  • HAs are expected to assist with office coverage during Fall, Thanksgiving, Winter, and/or Spring Breaks. Shifts for these breaks will be determined among the staff. No vacation/travel plans should be made until office coverage has been assigned
  • HAs must request and obtain approval from a supervisor prior to any shift changes or absences
