Job Summary

The Housing Central department is recruiting a Student Mailroom Assistant to join their team of professionals. The Mail Assistant (MA) position is an integral member of the Housing team, serving as first point of contact and representative of the Housing Package Center (HPC) for the Department of Housing and Florida International University.The Mail Assistant serves as a service provider and resource for current residential students. As members of the Housing staff, the MAs work collaboratively with other staff members to ensure effective and efficient delivery of mail, packages and services. Together, the MAs and other housing staff provide services that support the mission, vision and values of the Housing Office. With the goal of providing excellent services to students in the residence halls, Mail Assistants are responsible for assisting with day-to-day mail sorting, distribution and delivery of all received mail to the residence halls. Additionally, the MA's receive, track, and disburse incoming packages to residential students at the Housing Package Center. MAs will have other administrative and customer service responsibilities. The MA is a paraprofessional staff member of the Housing Office and reports directly to the Postal Services Supervisor.

General Expectations:

  • The MA serves as a resource for residents, families and other campus community members and should be familiar with the services and opportunities provided by Housing and Residential Experience, the Division of Student Affairs, and other university departments and offices
  • As employees of the Housing Office, MAs are expected to support the vision, mission, values, philosophies, and goals of Housing and Residential Experience
  • The MA will help to create and maintain a friendly, respectful, and accepting atmosphere in the departmental office
  • The MA will be expected to arrive on time for all scheduled shifts and communicate any necessary absences in a timely manner

Role Modeling and Leadership Expectations

  • The MA is responsible for abiding by and upholding all residence hall and university policies
  • MAs are expected to serve as positive role models for all students. This includes but is not limited to modeling appropriate and mature behavior on and off campus as well as via digital and social media
  • The MA is expected to fulfill all expectations as described and provided in training sessions and through direct supervision

Administrative Responsibilities

  • Keep record of all mail received using the computer system in a particular order to be able to identify date of receipt, where and whom it was sent to for easy identification. This process helps in tracking mail and packages and prevents losses
  • Sort packages and group them into different categories for easy dispatch and safe handling during delivery to prevent damage of sensitive packages if they were mixed up with non- sensitive ones
  • Collect mail and packages from residents
  • Gather inventory items and evaluate seasonal inventory counts, recording inventory items and materials
  • Fill relevant details in distribution and shipping forms, providing accurate information to ensure that mail is delivered to the right locations and people
  • Maintain supplies to ensure that they don't go out of stock
  • Answer inquiries from residents about mail and packages
  • Keep the mailroom organized by properly arranging the bundles of mail and packages coming in to prevent littering and jam-packing in the office space
  • Perform clerical tasks such as filing, copying, and faxing documents as needed
  • Complete special projects as assigned by Housing staff

Customer Service Responsibilities

  • MAs are expected to maintain a positive attitude that is welcoming to residents/guests and supportive of the University and the department
  • MAs are expected to provide excellent customer service to students and parents by phone, email and in-person regarding any Housing and Residential Experience questions, concerns, and requests
  • MAs will be expected to maintain a high level of professionalism in communication with residents, staff and guests

Desired Qualifications

Minimum qualifications:

  • MAs must have a 2.5 cumulative GPA at the time of application and maintain a 2.5 cumulative and semester GPA for the duration of their employment
  • MAs must be and remain in good standing with the Department and University, including no significant or recent student conduct history
  • Prior to employment, MAs must successfully pass a criminal background check conducted in conjunction with the Human Resources office

    • Students enrolled at FIU, who have been awarded Federal Work Study (FWS) as part of their Financial Aid Award package.
    • Student must be enrolled with a minimum of six (6) credit hours in a course of study leading to a degree or a Financial Aid eligible certificate, during Fall, Spring, and Summer semesters.
    • Upon credits decreasing, award being canceled, or graduating, FWS employment must end.
