Job Summary

The Conference Assistant (CA) position is an integral member of the Housing team, serving as a liaison of the Housing Office and Florida International University to all conferences held at the institution. The Conference Assistant serves as a service provider and resource for summer conference organizers and attendees. Conference organizers and attendees can be interns of the university, groups of special programs which collaborate with the university, and/or persons outside of the University community. As members of the Housing Office staff, the CAs work collaboratively with other staff members to ensure effective and efficient delivery of services and information. Together, the CAs and other housing staff provide services that support the mission, vision, and values of the Housing and Residential Experience department. With the goal of providing excellent services to conference guests in the residence halls, CAs are responsible for assisting with day-to-day administrative and customer service responsibilities. The Conference Assistant is a paraprofessional staff member of the Housing Office and reports directly to a professional staff member.

General Expectations

  • The CA serves as a resource for conference hosts, guests, interns, and other campus community members and should be familiar with the services and opportunities provided by Housing and Residential Experience, the Division of Student Affairs, and other university departments and offices
  • The CA will be knowledgeable of and able to communicate Housing and Residential Experience procedures and policies to conference attendees and organizers
  • As employees of the Housing Office, CAs are expected to support the vision, mission, values, philosophies, and goals of the Housing and Residential Experience department
  • The CA will help to create and maintain a friendly, respectful, and accepting atmosphere in the residence halls and office spaces
  • The CA will be expected to arrive on time for all scheduled shifts and communicate any necessary absences in a timely manner

Role Modeling and Leadership Expectations:

  • The CA is responsible for abiding by and upholding all residence hall and university policies
  • CAs are expected to serve as positive role models for all students. This includes but is not limited to modeling appropriate and mature behavior on and off campus as well as via digital and social media
  • The CA is expected to fulfill all expectations as described and provided in training sessions and through direct supervision

Administrative Responsibilities

  • CAs are responsible for staffing the front desk of their respective residence halls. During that time, they will be expected to answer the residence hall phone line, receive and disseminate fliers and other information, and assist with general office tasks
  • CAs are also expected to participate in rotating duty rounds, check-in and check-out shifts for conferences, and other conference preparations
  • The CA will serve as first-line of communication with conference organizers, attendees, and interns at check-in and throughout their stay
  • CAs will provide clerical support for office staff by maintaining systems of conference group checkins, check-outs, key cards issued, and facilities requests
  • CAs are expected to be familiar with and utilize departmental databases/systems to answer questions and assist both conference guests and residential populations
  • CAs will complete special projects as assigned by Housing staff

Customer Service

  • CAs are expected to maintain a positive attitude that is welcoming to conference organizers, guests, and interns, and be supportive of the University and the department
  • CAs are expected to provide excellent customer service to all university guests by phone and in-person interactions regarding any Housing and Residential Experience questions or concerns
  • CAs will uphold and maintain confidentiality with sensitive information
  • CAs will be expected to maintain a high level of professionalism in communication with conference organizers, staff, guests, and department staff
  • CAs will become familiar with the different offices and services available at the University to make appropriate referrals to all conference guests and residents

Desired Qualifications
  • CAs must have a 2.5 cumulative GPA at the time of application and maintain a 2.5 cumulative and semester GPA for the duration of their employment
  • CAs are not required to be enrolled in classes during the summer but are permitted to take courses First-time CAs must be enrolled in 6 credits or less during each academic session throughout their employment (ie, 3 credits in Summer A, then 6 credits in Summer B)
  • CAs must be and remain in good standing with the Department and University, including no significant or recent student conduct history
  • Prior to employment, CAs must successfully pass a criminal background check conducted in conjunction with the Human Resources office
  • CAs must currently live on campus or have lived on campus previously at FIU
Who May Apply
  • Students enrolled at FIU, who have been awarded Federal Work Study (FWS) as part of their Financial Aid Award package.
  • Student must be enrolled with a minimum of six (6) credit hours in a course of study leading to a degree or a Financial Aid eligible certificate, during Fall, Spring, and Summer semesters.
  • Upon credits decreasing, award being canceled, or graduating, FWS employment must end.
Work Schedule
  • The CA will be scheduled for no more than 30 hours per week during the summer
  • CAs will attend and actively participate in any mandatory staff meetings and training sessions as scheduled
  • CAs are expected to assist with desk coverage throughout the entire summer and work a set minimum of hours throughout the summer terms. No vacation/travel plans should be made until building coverage has been assigned and time off was approved
  • CAs must request and obtain approval from a supervisor prior to any shift changes or absences
  • CAs are required to leave Wednesdays 1:30pm-4:30pm open for staff meetings

$13.00/hour
