Who We Are Looking For




The Vendor Management Specialist position supports the Operations Department and the Quality Control and Compliance Department by establishing, and maintaining business relationships with new and existing vendors, keeping records of all necessary documentation in vendors' profiles and supporting the negotiation on costs. Work is subject to check and verification and instructions are usually given on variations.


What You Will Work On




  • Create vendor profiles in the system and upload vendor information following the same standard.

  • Determines vetting status based on documents received from the vendors, location and type of services.

  • Establish relationship with vendors and negotiate better rates and/or rates for specific events.

  • Facilitate implementation of processes.

  • Coordinate the collection of costing information to ensure all data is saved and kept current.

  • Track all pending vetting until completion.

  • Create and update Agent profiles as needed to ensure picture, licenses, and contact information are accurate.

  • Participate in a variety of meetings, communicating updates to all functional areas of the organization.

  • Process and maintain a wide variety of files, logs, reports, and forms.

  • Monitor and adhere to internal operational controls, including legal, corporate, and regulatory procedures to ensure the safety and security of client assets and personnel.

Who You Will Work With




  • This position operates in a professional office environment.

  • This role routinely uses standard office equipment such as computers, telephones, scanners, copiers, filing cabinets and fax machines.

  • While performing the duties of this job, the employee is regularly required to talk and hear.

  • This position requires the ability to occasionally lift office products and supplies, up to 25 pounds.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.



What You Will Bring




  • Working knowledge of obtaining/using cost data and vendor quotes

  • Reading of and quantification from vendor documents

  • Must be highly detail oriented

  • Familiarity with software such as Microsoft Office Word and Excel

  • Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems

  • Judgment and Decision Making - Considering vendor information and communicating with Management for exceptions and special considerations.

  • Strong written and oral communication skills

  • Ability to work independently while establishing effective relationships, collaborating with peers and clients

  • A high school diploma is required

  • An associate degree or bachelor's degree from an accredited school is preferred

  • Three (3) to five (5) years of experience with essential functions and responsibilities is preferred

  • Multi-lingual and multi-cultural skills are preferred

  • Military experience is preferred

  • This position is a non-Exempt position, as determined by the Fair Labor Standards Act. Regular full-time working hours equate to 40 hours each week.



Operations shifts


Shift #1 - Monday through Friday 0600 - 1400 Local Time


Shift #2 - Monday through Friday 1300 - 2100 Local Time
