Job Summary:

The Program Coordinator is directly responsible for two cohorts (approximately 125 students), where key responsibilities stretch across both academic affairs and student experience. Prior to the class weekend, the Program Coordinator coordinates with the Executive MBA (EMBA) team and other departments to ensure a smooth and rewarding experience for both our faculty and students. During the class weekend, the Program Coordinator is a critical resource on the ground to ensure seamless execution of our key objectives.

Please Note: Two weekends required per month, as well as some evenings. Occasional domestic and international travel.

Specific Responsibilities:

Student Experience

  • In partnership with the Associate Director of Student Experience, manages the overall student experience of the Executive MBA.
  • Supervises student orientation, registration, student life, graduation, etc.
  • Compiles, distributes, and tracks communications including, but not limited to, weekly schedule emails, timely announcements, onboarding, event RSVPs, surveys, electives and graduation.
  • Implements an advising system to support all students, including working directly with prospective and enrolled students.
  • Serves as liaison between administration, facilities, faculty, and Kellogg Information Systems to problem solve any issues that occur over the weekend.
  • Collaborates with student committees to plan and execute student experience events to meet organizational engagement and diversity goals.
  • Actively engages with students during the class weekends to ensure the delivery of a world-class educational experience.

Events

  • Coordinates programming, educational, student, alumni, workshops, and meetings. including speakers, agendas, etc.
  • Project manages large scale and/or complex events and activities including, but not limited to, onboarding and orientation, Partners Weekend, Electives, Global Network Week, Graduation, Executive Speakers, and various other co-curricular activities and events.
  • Ensures that all logistics have been completed such as advertising, registration, speakers, international travel arrangements, venues, catering, technology, etc.
  • Develops plans and arranges meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
  • Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments, and technology are arranged and completed in an appropriate and timely manner.

Academic Affairs

  • In partnership with the Academic Affairs team assist in managing the academic operations of a portfolio of courses in the Executive MBA.
  • Works with Academic Affairs and Course Support to ensure that all books and materials are available to students on campus and in our learning management system.
  • Completes administrative activities such as assessment, operations planning, data management and reporting.
  • Prepares academic year course schedule, monitors course registration & enrollments.
  • Counsels' students regarding alternatives for course requirements.
  • Gathers student data from various databases to ensure degree requirements are met.

Evaluation

  • Manages development and maintenance of evaluation processes including associated metrics and key performance indicators.
  • Reviews and analyzes outcome measurements and recommends changes and enhancements to improve program/project.
  • Collaborates with internal/external partners to implement changes designed to improve/increase program/project goals/objectives.

Strategic Planning

  • Manages & implements strategic plans.
  • Reviews plans, meets with leadership and key faculty and staff.
  • Provides advice and counsel. Recommends changes and improvements to functional operations to better meet organizational needs and objectives.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in relevant field OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.
  • Availability to work on average two weekends per month in order to support the class weekends, as well as some evenings.
  • Ability to travel domestically and internationally.

Preferred Qualifications:

  • 2 years program/project administration or other relevant experience.
  • Understanding of academic culture and higher education program management.

Target hiring range for this position will be between $53,000 - $58,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
