The EWI Administrative Assistant in Buffalo resides at the front desk in the lobby to greet visitors and route inbound phone calls throughout the organization. The Administrative Assistant arranges catering and prepares meeting rooms for customer engagements and events. This role assists with various administrative functions including general administrative support to engineering personnel, maintaining office supplies, collecting and submitting invoices for facility to accounting, and assisting in planning of staff activities and events.

ESSENTIAL FUNCTIONS:

  • Attend to the front desk to greet visitors, clients, job applicants, and facility vendors
  • Using facility visitor kiosk system, identify purpose for visit, confirm visitor's badge, and notify host when visitor arrives
  • Receive and route all external and internal calls quickly and effectively including taking messages, transferring to voicemail, or otherwise assisting callers
  • Update staff daily with upcoming visitor and guest name and company
  • Perform general administrative duties to assist the team to include office mail distribution, fax distribution, printing of materials, calendaring meetings using Outlook, meeting room setup, and room clean-up
  • Support facility events with materials preparation, identifying catering needs and sourcing vendor quotes to order lunches and drinks for events, re-stocking coffee areas, setting up and tearing down of conference rooms for meetings, and performing general cleaning pre and post meeting
  • Manage office and kitchen supplies; purchase supplies and manage inventory
  • Submit purchase requisitions in Salesforce to support facility and HR as needed
  • Support HR with interview process and new-hire process
  • Additional support duties as assigned

EDUCATION:

  • High School Diploma or its equivalent

EXPERIENCE:

  • Two (2) or more years' experience as a receptionist position and/or administrative support
  • Experience working in a technical field such as engineering and/or research and development is desirable
