Job Description

The Donor Engagement and Events Specialist provides strategic planning, logistical and operations support for all strategic initiative, stewardship, cultivation and annual events, as well as ongoing donor relations, and event activities throughout the department. The Donor Relations and Events Specialist will work toward achieving the team fundraising goals related to strategic initiatives and annual events. In addition, they will provide onsite event support for all virtual and in-person events. These events help achieve annual stewardship & fundraising objectives.

The specialist provides planning support for all development events, programs and travel along with event logistical support onsite and virtual events as well as preparation of materials and follow-up activities. In this role, the specialist will also track events and event details in the EventPro system, museum calendars and department development calendars along with building development events in the Tessitura database and promoting the list in the database while also tracking pre-event registration in the Tessitura database. Responsibilities also include assisting with drafting floorplans, timelines and other event related collateral as needed along with support in the planning, marketing and execution of the PEM Gala (annual museum fundraiser). The position also liaises with external talent to plan travel arrangements, payment and contracts as related to development events and travel along with maintaining event responses, post event attendance, and other data specific to Events and Donor Relations in the Tessitura Database. The specialist will also ensure appropriate actions and details from Director of Donor Relations and Events, and the PEM Gala Committee are inputted and updated in department's database in a timely manner as it relates to events. Evening and weekend work is required during special events (virtual and in-person). Maintains the confidentiality of all institutional and personnel matters. Coordinates and maintains the master calendars of events for the team. Works on special nonrecurring and ongoing projects, and other duties as assigned.

The ideal candidate will have a Bachelor's Degree and two or more years of experience or training are preferred; or the equivalent combination of education and experience. Background in development, art history and art museum experience a plus; excellent attention to detail; proven problem-solving and planning capabilities, a passion for the world of art, art history and our rich cultural history. A mature level of judgment and decision-making in a changing, forward-thinking operating and visitor focused environment including a high degree of patience, good humor and fortitude in managing relationships with various parties, including other departments, donors and external partners; demonstrated ability to forge mutually-respectful and effective relationships with a diverse group of personalities. Outstanding oral and written communication skills along with Experience using MS Office suite, Google Docs, All Seated, EventPro or other event scheduling software, knowledge of Tessitura or similar database experience is a plus.
